Cancellation & Refund Policy
Effective August 1, 2026
At Wismar Med, we strive to provide timely, high-quality telehealth care while respecting both our patients’ time and our providers’ schedules. Please review the following Cancellation & Refund Policy before scheduling an appointment or purchasing any telehealth service.
By scheduling an appointment or submitting payment, you acknowledge and agree to this policy.
1. Appointment Cancellations
- Medication Refill EvaluationsYou may cancel your refill request at any time before the physician begins reviewing your submitted forms and medical records. Once the physician review has begun, the evaluation fee is non-refundable, regardless of whether the refill request is approved.
- Medical Cannabis EvaluationsIf you need to cancel or reschedule your telehealth evaluation, please notify us as soon as possible by text or through the patient portal. There is no charge for missed or canceled appointments because patients are charged only if they meet Georgia’s eligibility requirements after completing their physician evaluation.
2. Refund Eligibility
Refund requests will be reviewed on a case-by-case basis. Refunds may only be issued for payments that have been processed.
Patients may generally be eligible for a refund if:
- A payment was processed in error.
- A duplicate payment was made.
- Wismar Med cancels the appointment or service and is unable to reschedule within a reasonable timeframe.
- A provider determines before the medical evaluation begins that the requested service cannot legally or medically be provided.
Refunds are generally not available after the medical evaluation or service has begun, including:
- The physician has begun reviewing your medical history or submitted intake information.
- A telehealth consultation has started.
- Medical advice has been provided.
- Medical records have been reviewed as part of your evaluation.
- Documentation has been prepared or completed on your behalf.
- A prescription has been issued (when medically appropriate).
- A Medical Cannabis Physician Certification has been completed and submitted to the Georgia Department of Public Health Registry.
For Medical Cannabis Evaluations, patients who do not meet Georgia’s eligibility requirements will not be charged. Therefore, refund requests do not apply when no payment has been processed.
Approved refunds will be issued using the original payment method whenever possible. Processing times may vary depending on your financial institution.
3. Payment for Physician Evaluations
Payment covers the physician’s professional time and medical evaluation—not a guaranteed medical outcome.
Your appointment fee compensates the provider for services that may include:
- Reviewing your medical history
- Reviewing medications
- Reviewing submitted medical records
- Conducting the telehealth consultation
- Performing an appropriate medical assessment
- Developing a treatment recommendation
- Completing any medically appropriate documentation
The professional evaluation itself is considered the service being purchased.
4. No Guarantee of Prescription or Certification
Payment does not guarantee that you will receive any particular medical outcome, including:
- a prescription;
- a medication refill;
- a controlled substance;
- a Georgia THC Oil Registry certification;
- laboratory orders;
- referrals; or
- any other specific treatment or recommendation.
All medical decisions are made solely by the treating physician based on:
- your medical history,
- current medical condition,
- applicable clinical guidelines,
- physician judgment,
- and Georgia law.
If the physician determines that a prescription, refill, or certification is not medically appropriate or legally permitted, no prescription or certification will be issued.
The physician’s medical judgment cannot be influenced by payment.
5. Medication Refill Requests
Submitting a medication refill request does not guarantee approval.
The physician may determine that additional information is required before making a decision, including:
- prior medical records,
- laboratory results,
- pharmacy history,
- identification verification,
- or an additional telehealth visit.
Certain medications, including controlled substances and other medications restricted by federal law, Georgia law, or Wismar Med policy, may not be prescribed or refilled through the practice.
6. Medical Cannabis Evaluations
Georgia Medical Cannabis physician evaluations are conducted to determine whether a patient meets the legal and medical eligibility requirements under Georgia law. Patients who meet Georgia’s eligibility requirements will be charged for the physician evaluation after the evaluation is completed. Patients who do not meet Georgia’s eligibility requirements will not be charged.
Certification is issued only when the physician concludes that the patient meets all applicable legal and medical eligibility requirements.
7. Technical Difficulties
Patients are responsible for ensuring they have:
- a reliable internet connection,
- a compatible device,
- functioning audio and video (when required),
- and access to the telehealth platform.
If technical issues prevent completion of the visit, Wismar Med may, at its discretion:
- continue the visit using another legally permissible communication method, when appropriate;
- reschedule the appointment,
- or determine whether any refund or credit is appropriate.
8. Patient Responsibility
Patients are responsible for:
- providing accurate health information;
- Providing accurate, complete, and current health information;
- Completing all required intake forms before the scheduled appointment;
- Uploading any requested documentation, when applicable;
- Attending appointments on time;
- Ensuring they are physically located in a state where the physician is authorized to provide telehealth services at the time of the appointment; and
- Ensuring they are in a private location suitable for receiving telehealth services, when appropriate.
Failure to provide required information may delay or prevent treatment and does not automatically qualify for a refund.
9. Practice Cancellation
If Wismar Med must cancel an appointment due to provider illness, technical issues, scheduling conflicts, or other unforeseen circumstances, patients may be offered:
- a rescheduled appointment,
- a practice credit,
- or a full refund, depending on the circumstances.
10. Chargebacks
Patients are encouraged to contact Wismar Med directly regarding any billing concerns before initiating a payment dispute or chargeback with their financial institution. Initiating a chargeback after receiving professional medical services may delay resolution while the payment dispute is investigated.
Wismar Med reserves the right to respond to chargeback claims by providing documentation demonstrating that professional medical services were rendered.
11. Changes to This Policy
Wismar Med reserves the right to update or modify this Cancellation & Refund Policy at any time. Any updates will become effective upon posting to the Wismar Med website unless otherwise stated.
